2. Purpose of this manual

This manual explains what records AFSKSA holds and how you can request access to them under PAIA. It is available free of charge from the Information Officer, whose details appear above.

3. How to request access

Requests must be made on the prescribed PAIA request form and submitted to the Information Officer at the contact details above. We aim to respond within 30 days, as PAIA requires, and will tell you if that period has to be extended. Prescribed request and access fees may apply; the Information Officer will confirm any fee before work begins. The forms and the current fee schedule are published by the Information Regulator of South Africa.

4. Records available

The records we hold include: membership and enrolment records; minors’ medical, emergency-contact and consent forms; attendance and grading records (grades are awarded through the Association of Funakoshi Shotokan Karate SA); photographs and video used with consent on our Facebook page and this website; and basic financial and administrative records. Access to some records may be refused on the grounds set out in PAIA, in particular where releasing them would unreasonably disclose someone else’s personal information, especially a child’s.

5. Remedies

If we refuse your request, or you are unhappy with how it was handled, you may lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za) or apply to a court for appropriate relief.
